    Organize, schedule, and facilitate board and annual meetings. Prepare agendas, distribute meeting notices, record minutes, and provide guidance on parliamentary procedures.
  • Resident Communication
    Serve as the main point of contact for homeowners. Manage newsletters, community updates, emergency alerts, and responses to homeowner inquiries or complaints.
  • Rule Enforcement
    Monitor the property for rule violations, issue violation letters, and coordinate hearings or fines as needed, always in accordance with the HOA’s governing documents.
  • Insurance Administration
    Assist with obtaining and renewing insurance policies, managing claims, and ensuring adequate coverage for the association and common areas.
  • Record Keeping & Document Management
    Maintain all HOA records, including governing documents, meeting minutes, financial records, and homeowner correspondence, ensuring compliance with Florida’s record retention requirements.
  • Legal Coordination
    Work with legal counsel on collections, disputes, contract reviews, and regulatory compliance. Keep the board informed of legislative changes affecting HOAs.
  • Emergency Response Planning
    Develop and implement emergency preparedness plans, coordinate responses to hurricanes and other disasters, and manage post-event recovery.
  • Architectural Review Administration
    Process homeowner requests for architectural changes, coordinate with the board or committee, and ensure all modifications comply with community standards.
  • Amenity Management
    Oversee reservations, maintenance, and operations of community amenities such as clubhouses, pools, tennis courts, and gyms.
  • Technology & Online Portal Support
    Provide an online portal for payments, document access, maintenance requests, and communication to improve transparency and convenience for residents.
